Before connecting an agent to WhatsApp, map what your Pipedrive account already covers and which tasks still need an owner. Define which data the agent may read, which stages it may change and when the conversation should pass to a salesperson. Then check the enabled features, plan, version and integrations; keeping the CRM can be part of that design.
The five rules below help turn that decision into an implementation scope.
What Pipedrive already does with WhatsApp
According to the Pipedrive Marketplace app page, the WhatsApp Business integration is built and maintained by Pipedrive and supports:
- replying to WhatsApp messages from a deal or contact;
- viewing conversation history alongside the pipeline stage;
- linking a conversation to an existing deal or creating a new one;
- sending message templates, standardized texts approved under Meta's rules and used, for example, to initiate contact, populated with Pipedrive data;
- organizing conversations in a shared inbox;
- scheduling reminders and next steps.
The setup documentation lists a Facebook Business Portfolio, a WhatsApp Business Account and a phone number; the Marketplace states that each user can be assigned to one number and labels the app free. The specific integration KB, updated 03/09/2026, states Growth or higher, beta status and a rollout that is not yet available to all customers. A free app listing does not mean integration is enabled for every account, and the plan requirement does not establish a separate app fee. Confirm the feature and activation in your workspace.
This can reduce scattered information: the conversation sits with the deal rather than only on the salesperson's phone.
Documented AI features and access conditions
The Pipedrive AI page, updated 03/09/2026, lists a sales assistant for account-data questions, email features, imports and reports. The table marks Sales Assistant across the four current plans, but the page specifies beta access for selected users. The beta program page describes enrolment on Premium or higher, or Professional or higher on legacy plans. A table entry, program eligibility and an actually enabled feature are distinct conditions: confirm the access offered to your account rather than treating general program policy as an automatic block on every feature. Email generation, summaries and reply suggestions are listed on Premium and Ultimate, some in beta.
There is also native MCP, an official connection through which compatible assistants can work with CRM data. The KB dated 07/09/2026 and 30/06/2026 announcement describe reading data and actions such as creating or updating records and creating activities, within existing permissions. CRM actions through this connection do not, by themselves, demonstrate autonomous customer service on WhatsApp. The references examined are not a complete catalogue: assess the tasks, features, plans, versions and integrations available for your case.
Where work can remain
In the native integration as described in the Marketplace, a message reaches Pipedrive and the salesperson replies there. In that setup, someone still needs to:
- define response hours and channels, including outside office hours;
- ask qualification questions;
- decide whether a contact becomes a deal and at which stage;
- book the meeting and record the note;
- follow up with a contact who stopped replying.
If these tasks depend on the salesperson, contacts and pipeline updates may wait while that person is in a meeting or outside office hours. Assess which steps are already automated and which still have no owner.
What an AI agent can add
A XMACNA Digital Employee, an AI agent connected to Pipedrive, can handle steps in the conversation. As described on the Pipedrive with AI page, it handles WhatsApp enquiries, qualifies contacts and returns the contact, stage and note to Pipedrive, which remains the main pipeline record. What it can read, write or book depends on the integration, permissions and rules configured during implementation.
With those rules working, the salesperson can find the enquiry's source, the customer's needs and qualification answers in the deal, plus a booked meeting when the calendar is integrated. The Digital Seller page shows a conversation design through to a proposal.
Define the rules before changing the pipeline
An agent making CRM changes needs written rules before it goes live:
- Which stages it may change. For example, from “new” to “qualified” and “meeting booked”, never to “won” or “lost”.
- Which fields are required. Source, need, timing and budget range. If the contact has not answered, leave the field empty rather than inventing a value.
- Who owns the deal. Define the distribution rule between salespeople so the agent can assign it correctly.
- What becomes an activity for the salesperson. A booked meeting, a proposal request or an objection that needs a human conversation.
- How to avoid duplicates. Define lookup by phone number and email before creating a contact, and what to do when there is more than one match.
The integrated CRM page explains how XMACNA records conversations.
Three parts of the cost
- The Pipedrive plan the company already uses.
- WhatsApp messages charged by Meta. Meta charges per delivered template message, according to category and country. The official WhatsApp Business FAQ states that, since October 1, 2026, service messages are also charged above a monthly allowance per phone number. Rules and prices change; check the applicable rate card before calculating the cost.
- The agent. At XMACNA, a one-time implementation fee plus a monthly amount based on conversations handled, with no per-user charge.
What the case documents, and its limits
At Rede Supera, a Brazilian education franchise network, the Digital Employee handled replies, qualification, booking and conversation records. Scheduled contacts doubled (+100%) compared with a control group within the same network. The case documents that service and recording mechanism; it does not involve Pipedrive and is not a forecast for another operation.
Next step
The free assessment suggests a starting point and provides an initial time estimate based on the form responses. Commercial contact is optional: stages, fields, integrations, rules and pricing for your operation can then be discussed with Hermes, XMACNA's Digital Employee, on WhatsApp.
Frequently asked questions
Does Pipedrive integrate with WhatsApp?
Pipedrive lists a native WhatsApp Business integration, maintained by the vendor, for messages, history, deals and a shared inbox. The specific KB dated 03/09/2026 states Growth or higher, beta and a partial rollout. A free Marketplace label does not guarantee access on every plan or account. Confirm availability in the workspace before planning the operation.
Does Pipedrive have AI that handles customers on WhatsApp?
Pipedrive documents AI for email, data and reports, plus MCP for compatible assistants to read and change the CRM within permissions. That differs from demonstrating an agent independently handling WhatsApp customer conversations. Check the specific feature, channels, actions, plan and activation in your account, including dedicated apps and integrations; a partial list does not prove absence across the ecosystem.
Do I need to change CRM to use a Digital Employee?
Not necessarily. Keeping Pipedrive is possible, but reading and writing contacts, stages and notes depends on compatibility, integration and configured permissions. A conversation with Hermes can assess that design for your account.
Can the agent change pipeline stages on its own?
It can if the integration and permissions allow the actions the company has defined: authorized stages, required fields and handover to a salesperson. For example, the company can reserve changes to “won” or “lost” for a person.
